Dolphin Energy has successfully implemented an electronic document management System (EDMS).The solution will help the company digitally share engineering documents across UAE, Qatar, Japan and the US. The system also ensures that information can be scanned easily, archived and routed efficiently.

Dolphin Energy has successfully implemented an electronic document management System (EDMS).The solution will help the company digitally share engineering documents across UAE, Qatar, Japan and the US. The system also ensures that information can be scanned easily, archived and routed efficiently.

“Like many organisations we had two main objectives – increase efficiency and decrease costs. We required a technology system that could grow in size as Dolphin develops. This, coupled with ITQAN’s proven project methodologies, was a deciding factor in selecting them as our project partner,” says Ibrahim Lari, vice president, IT & automation, Dolphin Energy.

Dolphin Energy’s main objective was to improve operational efficiency and speed up business processes through the exchange and communication of engineering design documents between the engineering, procurement and construction (EPC) departments and contractors.

“We realised that Dolphin Energy had a future requirement for business management software solution, yet unimplemented. We did not only comprehend their present needs, rather we also envisioned their projected future requirements, and this how we built our solution,” says Ihab Sahili, chief executive officer of ITQAN.

Dolphin’ EDMS implementation is powered by Livelink from Open Text and an image capturing solution from Kofax. With twelve key components covering everything from a document management to a customised user interface the company hopes to reduce paper handling and benefit from the associated storage cost.

It includes a collaborative work environment to store and share all the company’s records through online meetings, chat and discussions. Livelink’s workflow tool allows Dolphin employees to route documents for review, approval and action.

The communications tool allows users to ‘push’ information to the appropriate users and the ‘pull’ tools alert employees when any new relevant information is created. It also includes a contract coordination tool for contractors to coordinate their activities through the collaboration ware.
