BICSI Conference and Exhibition
The BICSI Middle East and Africa District Conference will have an exhibition organised alongside the conference. The exhibition will be open to the delegates before and after the technical presentations and during the conference networking breaks and lunch.
The exhibition will also be open in the evenings between 5.30pm and 8pm to visitors from the industry who may not be attending the BICSI Conference.
The opportunity Exhibit is limited to 20 companies giving an opportunity to the manufacturers and vendors for displaying their technological advancement to the key information transport system professionals from within the Middle East and Africa region.

Exhibition Stands are available as shell stands. Only two booking options are available:

NOTE: Due to the limited number of Booths, Exhibition Booth locations will be decided by the Conference Organising Committee with Exhibitors being informed in advance in the Exhibition Guide provided 3 weeks before the event.

Exhibitor Representative Registration
Additional exhibitor representatives may be registered in one of the following categories:
US$450—per exhibitor representative, with full conference privileges.
US$150—per exhibitor representative, allows the representative to staff the booth during scheduled exhibit hours for the duration of the conference, with no conference attendance privileges or credits.
Exhibitor representatives should be registered online or be listed on the form provided in the exhibitor brief.
NOTE: There is a US$20 fee for on-site name badge changes and replacement of lost name badges.
Cancellation Policy

Subletting of Space
Exhibitors may not assign, sublet, or apportion the whole, or any part of, the space allocated. They may not display goods or services other than those that they manufacture and/or regularly distribute.
Shipping and Receiving Arrangements
ITP Events will arrange for an exhibition service contractor to be the official receiving and shipping agent for conference. That company will receive exhibitors’ prepaid shipments and deliver them to the conference site. Each exhibitor must provide return shipping instructions. The exhibition service contractor will return ship all exhibits according to those instructions. Further shipping information and a schedule will be forwarded to each exhibitor upon confirmation of selection as an exhibitor.
Set-Up and Tear-Down of Exhibits
Exhibit set-up and tear-down will take place on the dates and times specified in correspondence from ITP Events and in the conference announcement. Exhibitors not complying with the schedule may be denied permission to set up for the conference. Each exhibitor must complete arrangements for removal of all materials from the exhibit area in accordance with instructions and time frame provided by the exhibition service contractor.
Storage of Crates and Boxes
Storage of crates and boxes is the responsibility of the Exhibitor during the conference. Fire regulations require that wrapping materials such as paper, packaging etc. be completely enclosed within packing boxes. Material not in accordance with these regulations will be considered refuse and discarded. Additional regulations may be required by individual conference facilities.
Liability and Security
Each exhibitor must make provisions for safeguarding goods, materials, equipment, and displays at all times. The conference hotel, ITP and BICSI will not be responsible for loss or damage to any property for any cause. All exhibit space occupied by an exhibitor must be surrendered in the same condition as it was when the exhibitor arrived.
The conference hotel, ITP or BICSI, their officers, directors, agents, and employees shall not be liable for, and are hereby released from, any claims, liabilities, losses, damages, or expenses relating to or arising out of any injury to any personnel of an exhibitor or to any other person, or any injury, loss, or damage which arises out of, or is in any way connected with, exhibitors’ participation in the conference. Exhibitors shall be fully responsible for any such injury, loss, or damage. Exhibitors shall protect, indemnify, hold harmless, and defend the conference facilities, BICSI, ITP, their officers, directors, agents, and employees against all such claims, liabilities, losses, damages, and expenses.
Exhibitor Schedule/Staffing Booths
Exhibiting companies are expected to staff their booths during specified exhibit hours with paid representatives who are required to wear their own official conference name badge. Companies that do not staff booths properly may be ruled ineligible to participate in future BICSI conferences.

NOTE: Exhibit booths must be closed during conference sessions. This includes shutting off lights, video display screens, and any other components of the display. Exhibitors are prohibited from conducting activities which may prove distracting to conference attendees during conference sessions, including the scheduling of conflicting events.
Sales/Order Taking Prohibited
Exhibitors are encouraged to offer educational, professional, and instructional information. Selling or taking orders for goods or services is prohibited anywhere in the conference/exhibit hall or in any other facilities provided or controlled by BICSI in connection with the BICSI conference.
Hospitality Suites/Functions
Hospitality functions are encouraged after regular conference hours. Space for hospitality functions is limited. Make your reservations early. Hospitality space reservations, catering arrangements, and other orders should be coordinated directly with the Hotel. Hospitality events are to be conducted in a manner that does not detract from the professional image of the conference or the BICSI association.
Special Effects/Exhibit Activities/Giveaways
Equipment demonstrations, and audio-visual and sound attention-getting devices will be permitted only in those locations and in such intensity as, in the opinion of the BICSI Conference Manager, they do not interfere with activities of neighboring exhibitors or business meetings of BICSI. All activities of exhibitors must be confined to their allotted exhibit booth.
Door prize drawings at exhibit booths are prohibited
Small token gifts such as pens, pencils, luggage tags, pocket calendars, buttons, hats, and pins may be distributed. Distribution of noisemakers is prohibited. Use of sideshow tactics, entertainment, or undignified methods considered by BICSI to be objectionable are expressly prohibited in exhibition areas and meeting rooms.

Dress Information
Business casual attire is appropriate.
All matters and questions not covered by these rules and regulations are subject to decision by BICSI and/or the BICSI Conference Manager. These rules and regulations may be amended at any time by BICSI; all amendments shall be equally binding to all parties. In the event of amendments or additions to these regulations, written notice will be given by BICSI to all scheduled conference exhibitors. Exhibitors not complying with rules stated herein may be refused participation in future BICSI conferences.
